1. Media Production – Additional Terms & Conditions
1.1 Booking & Payment
A non-refundable 50% deposit is required to secure any booking. No dates, services, or deliverables are confirmed until the deposit has been received and cleared.
The remaining balance is payable upon project completion and prior to the delivery of final assets, unless otherwise agreed in writing.
2. Cancellations & Postponements
In the event of cancellation, the deposit remains non-refundable.
Postponements may be accommodated subject to availability. If rescheduled within a reasonable timeframe, the deposit may be transferred to a new date at the discretion of LightMill Productions.
3. Late Payments
Late payments may result in delays in the delivery of final content and may incur interest in accordance with applicable South African legislation.
4. Scope of Work & Revisions
Deliverables are as outlined in the approved quotation or invoice.
A limited number of revisions are included. Any additional revisions or changes outside of the agreed scope may be subject to additional charges.
5. Ownership & Usage Rights
All content remains the property of LightMill Productions until full payment has been received.
Upon full payment, ownership of final approved content transfers to the client. LightMill Productions retains the right to use all content for portfolio, marketing, and promotional purposes unless otherwise agreed in writing.
6. Liability
While every effort is made to deliver services to the highest standard, LightMill Productions shall not be held liable for any indirect or consequential loss, or for circumstances beyond reasonable control, including but not limited to weather conditions, delays, or third-party interference.
7. Additional Costs
Any additional costs not included in the original quotation — including travel, accommodation, permits, or location fees — will be billed separately unless otherwise stated.
8. Acceptance
Payment of the deposit constitutes acceptance of these Terms & Conditions.
9. Events – Additional Terms & Conditions
9.1 Booking & Payment Structure
For all event-based services, a 70% non-refundable advance payment is required to secure the booking. No event dates, resources, or deliverables will be confirmed until payment has been received and cleared.
The remaining 30% balance is due on or before the first day of the event, unless otherwise agreed in writing.
A formal purchase order (if applicable) and proof of payment must be submitted no later than 7 days prior to the event start date.
9.2 Cancellations & Postponements
In the event of cancellation, all payments made remain non-refundable due to the nature of event planning, pre-production, and resource allocation.
Postponements may be accommodated subject to availability. Where possible, payments may be transferred to a new date if rescheduled within a reasonable timeframe, at the discretion of LightMill Productions.
9.3 Event Scope & Changes
All event deliverables, activities, staffing, and logistics are based on the approved quotation.
Any changes to scope — including additional attendees, activities, materials, or extended hours — may result in additional charges.
9.4 Logistics & Additional Costs
Costs related to travel, fuel, transport vehicles, accommodation, permits, venue requirements, and third-party suppliers are not included unless explicitly stated.
Any increases in fuel or transport requirements (including additional vehicles) may be adjusted and billed accordingly.
9.5 Contingency Planning
Event programmes are designed with flexibility in mind. In the case of unforeseen circumstances, including adverse weather conditions, LightMill Productions will coordinate suitable alternative arrangements where possible.
This may include adapting activities to indoor or covered environments. While every effort is made to maintain the quality of delivery, certain elements may need to be modified.
9.6 Staffing & Operational Delivery
All staffing, facilitators, and coordinators are scheduled based on the agreed event scope.
LightMill Productions reserves the right to make operational adjustments where necessary to ensure the successful delivery of the event.
9.7 Liability
LightMill Productions shall not be held liable for any delays, disruptions, or inability to deliver services due to circumstances beyond reasonable control, including but not limited to weather conditions, venue restrictions, or third-party service failures.
9.8 Acceptance
Confirmation of an event booking and/or payment of the required deposit constitutes full acceptance of these Terms & Conditions.
